Pilot safety playbook

Before opening

  1. Committee resolution and signed host agreement are on file.
  2. Insurance applicability is confirmed in writing.
  3. Equipment inspection is documented; unsafe equipment is removed.
  4. Manager and security staff complete a pass-validation drill.
  5. Emergency numbers, first-aid kit and evacuation route are visible.
  6. Resident-only hours and guest capacity are approved.

At every entry

  1. Ask the guest to present the booking ID and private pass code.
  2. Validate it in Gate desk; never admit a screenshot alone.
  3. Confirm the displayed time and facility.
  4. Record check-in. Do not permit additional guests or tailgating.
  5. Record check-out and note damage immediately.

Incident response

  1. Stop activity and make the area safe.
  2. For medical danger, call local emergency services first.
  3. Notify the society manager and GymCircle support.
  4. Preserve entry logs and factual notes; avoid public discussion.
  5. Pause the gym while safety is uncertain.
  6. Complete follow-up and reopening approval.

Daily close

Reconcile visits against entry logs, inspect equipment, close unresolved incidents, and confirm the next day’s schedule. Never share identity or emergency information outside an operational need.
